If you send us any of it, tell us and we will delete it where we can. We do not use sensitive information to infer characteristics about you.
4. How we use information, and our legal bases

| Comply with law, respond to legal requests and enforce our rights | Legal obligation and our legitimate interests |
When we rely on legitimate interests, we balance them against your rights. You can object as described in section 12.
5. Public by design
The Services exist to publish information about you. What you ask us to publish on your Site, in press releases, in Wikidata and in podcast episodes is public, and anyone can copy, store and share it. We cannot recall copies made by others, and publishing on a third party platform is subject to that platform's rules. Please be thoughtful about what you ask us to publish.
6. How we share information
We share personal information only as described here:
- Service providers. Companies that help us run the business and deliver the Services under contract, such as hosting and network delivery (Cloudflare), payments (Stripe), scheduling (Calendly), email and file storage, accounting and tax, support tools, podcast hosting and distribution, and AI tool providers. We require them to protect the information and to use it only for our purposes.
- At your direction. People and organizations you ask us to involve, such as press release services, domain registrars, Wikimedia projects, podcast platforms, outlets and hosts.
- Professional advisers. Lawyers, accountants, insurers and auditors.
- Legal and safety. When we believe disclosure is required by law, subpoena or legal process, or is needed to protect rights, safety or property or to prevent fraud.
- Business changes. To a buyer or successor if HiveCast is involved in a merger, sale or reorganization, subject to this policy.
- With your consent.
7. Services from other companies
- Stripe processes payments when you buy. Stripe receives your payment details directly and handles them under its own privacy policy: https://stripe.com/privacy. We receive details of the transaction but not your full card number.
- Calendly schedules calls and receives what you enter when you book: https://calendly.com/privacy.
- Cloudflare delivers and secures this Website and processes request data for us: https://www.cloudflare.com/privacypolicy/.
- Google Fonts. Pages on this Website load typefaces from Google. When your browser requests them, Google receives your IP address and browser information: https://policies.google.com/privacy.
Those companies' own policies apply to how they handle your information. Links to third party sites are not endorsements.
8. Cookies, tracking and Global Privacy Control
We do not use advertising cookies, and we do not use tracking technologies to follow you across other sites. Our hosting provider, Cloudflare, may use strictly necessary security technologies and may measure traffic in aggregate. Stripe and Calendly may set their own cookies on their own pages. You can control cookies in your browser settings.
We do not currently respond differently to "Do Not Track" signals because we do not track you across sites. We treat a Global Privacy Control signal as a request to opt out of any sale or sharing of your personal information, which we do not do.
9. We do not sell your information
In the last 12 months we have not sold personal information or shared it for cross context behavioral advertising, and we do not plan to. We do not make decisions with legal or similarly significant effects about you using automated processing alone, and we do not knowingly sell or share the personal information of anyone under 18.
10. How long we keep it
| Information | How long |
|---|---|
| Website request data | Held by our hosting provider under its retention settings |
| Contact and scheduling details | Up to 24 months after our last contact, and longer if you become a customer |
| Customer records and Client Materials | While we provide the Services and for 12 months afterward, then deleted or anonymized |
| Interview recordings and raw transcripts | 24 months after launch, then deleted. Published episodes stay published until removed under the Terms |
| Billing, tax and transaction records | 7 years, or as the law requires |
| Marketing email preferences | Until you unsubscribe, plus a record of the unsubscribe |
| Backups | Up to 90 days after deletion from live systems |
We may keep information longer where needed to resolve a dispute, enforce an agreement or meet a legal duty.
11. Security
We use reasonable administrative, technical and physical safeguards, including encrypted connections, access controls and the security features of our providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and regulators as the law requires.
12. Your rights and choices
Depending on where you live, you may have the right to know what personal information we hold about you and to get a copy; to correct inaccurate information; to delete it; to receive it in a portable format; to object to or restrict certain processing; to withdraw consent; to opt out of sale, sharing, targeted advertising and profiling (we do none of these); and not to be treated differently for using your rights.
How to use them. Email [email protected] with the subject "Privacy request," say what you want and which right applies. We may need to verify your identity, usually by matching details to what we hold, and may ask for more. You may use an authorized agent with your written permission. We respond within the time the law requires, generally 45 days, and may extend once where the law allows. We do not charge a fee unless requests are manifestly excessive or repetitive.
Appeals. If we decline a request, you may appeal by replying with the subject "Privacy appeal" within 60 days. We will respond in writing within the time the law requires and explain our decision. If you remain dissatisfied, you may contact your state attorney general or your local data protection authority.
Published content. If you ask us to delete content that is already public, we will remove it from channels we control, but we cannot remove copies held by others, and we may have to keep some information for legal reasons.
Marketing emails. Use the unsubscribe link in any marketing email, or email us.
Other people's information. If your information appears in someone else's Client Materials, contact us and we will help, which may mean referring you to the customer.
13. Notices for specific regions
California. In the past 12 months we collected these categories of personal information: identifiers (name, email, address, IP address); commercial information (purchases); internet or network activity; professional or employment related information; audio, electronic or visual information (interview recordings and photographs); and information you choose to include in Client Materials. We described the sources and purposes above, and we disclosed these categories for business purposes to the service providers named above. We do not sell or share personal information, and we do not use or disclose sensitive personal information for purposes other than providing the Services you request. California residents may ask about disclosures to third parties for their direct marketing; we make none.
Colorado, Virginia, Connecticut and other US states. Some states give residents rights to access, correct, delete and port their personal information and to opt out of targeted advertising, sale and certain profiling. We honor valid requests as the law requires. Section 12 explains how to make them and how to appeal. If you are a Colorado resident and are not satisfied with the result of an appeal, you can contact the Colorado Attorney General.
European Economic Area, United Kingdom and Switzerland. HiveCast LLC is the controller. We rely on the legal bases in section 4. You have the rights in section 12 and the right to complain to your local data protection authority. We have not appointed a representative in the EEA or the UK. If you have a concern, contact us at the address above.
Nevada. We do not sell covered information as Nevada law defines it.
14. International transfers
We are based in the United States and process information there and in other countries where our providers operate. If you are in the EEA, the UK or Switzerland, we transfer personal data outside those regions on the basis of appropriate safeguards, such as standard contractual clauses, where the law requires them.
15. Children
The Website and the Services are for adults and are not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe we have, tell us and we will delete it.
16. Changes to this policy
We may update this policy. We will post the new version with its date, and for material changes we will take additional steps, such as emailing customers, where the law requires.
